Job Summary
The Facilities Coordinator will assist the Director of Facility Services with projects and the procurement process. This person will work closely with cross-functional teams to ensure good communication.
Primary Functions
- Assist the Director of Facility Services in all aspects of project implementation and support the procurement process
- Conduct internal project meetings to communicate individual roles and project expectations
- Coordinate schedule of activities related to projects
- Monitor project logistics on a regular basis and ensure corrective actions are taken
- Maintain the quality of all project document/data to ensure the integrity of a project
- Represent the Facility Services Department in inter-departmental meetings
- Coordinate logistics of internal moves including offices and student bedrooms
- Evaluate space usage and identify potential improvements for efficiency
- Monitor and manage design and installation of furniture for all areas
- Develop and execute guidelines for furnishings campus wide
- Support the Procurement process by providing market research, cost / benefit analysis, obtaining competitor bids when necessary when evaluating potential new vendors
- Supports Facility Services team when outsourcing projects
- Conduct Facility Services vendor assessment & performance as compared to contractual terms
- Support Director of Facility Services in budget tracking, analysis of spend vs. dept budget
Secondary Functions
- Provide internal telecommunications service including modification and maintenance of the telecommunication system.
- Provide back-up support to Facilities Administrative Assistant
- Other duties as assigned
Requirements:
Educational, Training, and Licensure Requirements
- Associates degree or 2 years of facilities management experience preferred
- Experience with computerized maintenance management systems preferred
- Experience in project management may be considered in place of a degree
- Experience in a residential setting preferred
Physical Requirements
- Able to perform significant, prolonged, and frequent amounts of walking, standing, sitting, squatting, bending, twisting, reaching, and kneeling
- Regular lifting of 10 pounds
- Occasional lifting of up to 50 pounds
- Constant use of overall vision
- Hearing and talking skills in person and on the phone
- Hand and finger dexterity for frequent grasping, reaching, and pulling
